In brief
- Process mining rebuilds how processes actually run from the event logs of your systems.
- Three pieces of information are enough to start: a case identifier, an activity and a timestamp.
- On SAP, the Order-to-Cash and Procure-to-Pay processes deliver the fastest gains.
- A four to eight week pilot on a priority process is enough to quantify the potential.
Every order, delivery or invoice leaves a trace in SAP. Process mining uses these traces to show how processes really run, rather than how they were designed. Deviations, bottlenecks and rework become visible, measurable and therefore fixable.
The principle: start from event logs
The Process Mining Manifesto, published in 2011 by the IEEE Task Force on Process Mining, defines it as extracting knowledge from the event logs of information systems to discover, monitor and improve real processes. Each event relates to a case and an activity, and events are ordered in time.
- Discovery produces a process model from the data alone.
- Conformance checking compares the actual process with the target model.
- Enhancement enriches the model with observed lead times, volumes and resources.
Which data to extract from SAP
For a sales process, the case is rebuilt from sales, delivery and billing documents, linked through their document flow. For purchasing, you start from purchase orders, goods receipts and supplier invoices. SAP change documents add changes to prices, quantities or dates, which often reveal rework. A dedicated connector avoids rebuilding these links by hand.
Two use cases that pay off quickly
| Processes | What you measure | Typical gains |
|---|---|---|
| Order-to-Cash | Delivery lead times, credit blocks, order changes, days sales outstanding | On-time deliveries, cash flow, customer satisfaction |
| Procure-to-Pay | Orders created after the invoice, late payments, missed discounts, price variances | Contract compliance, recovered discounts, fewer disputes |
SAP Signavio Process Intelligence
SAP’s solution turns system data into actionable insights, with connectors to SAP and ready-to-use accelerators for common processes. It works with SAP Signavio BPMN 2.0 modelling, so the actual process can be compared directly with the target process. Gartner ranks it among the Leaders of its 2025 Magic Quadrant for process mining.
Pitfalls to avoid
- Incomplete timestamps: a date without a time is enough to distort the order of steps on the same day.
- Poorly linked cases: without the SAP document flow, a partial delivery or a collective invoice blurs the analysis.
- Too many variants at once: it is better to focus on the most frequent and the most costly.
- An analysis without the business: the causes of a deviation are understood with the people who run the process.
Our four-step approach
- Choose a priority process and three to five indicators shared with the business.
- Extract a few months of data and check its quality, especially timestamps.
- Analyse the variants and the causes of deviations with the process owners.
- Quantify the gains, launch the actions and track the indicators over time.
Frequently asked questions
How does it differ from a BI tool?
A BI tool aggregates indicators, such as an average lead time or an order volume. Process mining rebuilds the sequence of steps for each case: it shows which path late orders take, which variants cost the most and where rework happens, which a dashboard alone does not reveal.
Is process mining compatible with the GDPR?
Yes, with a few precautions. SAP user names can be pseudonymised at extraction, access to analyses is restricted by role and the purpose is documented. The aim is to improve processes, not to monitor people: this rule should be agreed with employee representatives.
How long does it take to get results?
The first findings usually come in four to eight weeks on a priority process, including data extraction and preparation. SAP Signavio connectors and accelerators shorten this phase. The financial gains depend on implementing the actions agreed with the business.
